Database Rebuilds

Inspection, Suggestions & Recommendations

Send your database or a representative example (500 records) to Coalesce for evaluation, suggestions and recommendations. Coalesce will recommend:

  • Database structure - The fields, field type and size to support your primary goals and the searches you wish to do
  • Protocol - e.g., official organization names, department names, lab names and abbreviations necessary to ensure your database is searchable and eliminates duplicates.
  • Records to keep or discard based on their parameters, such as age, type, title, source
  • Supplemental information from LABS™ you may wish to add such as applications, equipment, telephone number, fax number, size and additional decision makers (LABS™ has only key individuals identified via conversations with the lab or department manager)

Modifying Structure, Inputting Data & Choosing Software

  • You decide on the database structure that will fulfill your current and anticipated needs.
  • You decide whether to adopt the protocol Coalesce suggests.
  • You decide the software you wish to use, i.e., ACT, Telemagic, Covergent™ (Coalesce software that works with LABS™ to keep your database up to date and to manage closed loop telemarketing), or other PC, mini or mainframe software.
  • Coalesce then creates the structure and puts your information into it electronically.

Applying Protocol & Visual Inspection

  • Coalesce rearranges your field information into agreed upon protocol:
    • Separates Lab, Department or Division from Organization and/or address fields
    • Separates parent information from organization field
    • Rearranges address information to PO Box first or puts PO Box into a separate PO Box field.
    • Separates names into Salutation, First, Last
    • Enters title into a separate title field
    • Corrects Salutations to Mr., Ms., Dr.
  • Electronically corrects your protocol using LABS™ as the reference. Thousands of abbreviations and expansions are applied. Corrects title abbreviations to full titles
  • Visually inspects each record & corrects abbreviations & misspellings in Division, Department, Lab, Organization, Parent, and title fields
  • "Merge/Purge" of multiple sales & marketing databases

Upgrading Data using LABS™

Once the above is performed, Coalesce can:

  • Visually Update Lab, Department or Division changes from LABS™
  • Visually Update Organization name changes from LABS™
  • Visually Update Parent name changes from LABS™
  • Visually Update addresses from LABS™
  • Insert LABS™ laboratory reference number for future automatic updates
  • Code records for correct organization name and mailing address
  • Code records for listed professional still working in this lab

Telephone Verification

Telephone update of remaining records to verify their existence, name, address, and to eliminate sites that have moved, gone out of business, or are duplicates.

Supplementing Data using LABS™

  • For laboratories you have:
    • Input telephone & fax numbers from LABS™
    • Input additional names, titles of key professionals from LABS™
    • Input number of lab professionals from LABS™
    • Input lab function and applications from LABS™
